Meetings: inviting Wyra and scheduling links

Last updated October 2026

On this page

Wyra Notetaker joins your Zoom, Google Meet and Teams calls, records them, and turns them into notes, a transcript and action items on the right opportunity. You bring it in the same way you invite a colleague: add its address to the invite.

Wyra works from the invite alone. Before the first meeting, an Org Admin or a member with the Settings Manager role finishes a short setup: choose the data region, accept recording consent, and choose which meetings Wyra joins. See Meeting settings, recording and consent.

Inviting Wyra to a meeting

Click Invite Wyra on the Meetings page to copy an address, then paste it into the attendee field of any Zoom, Google Meet or Teams invite, in Outlook, Google Calendar or anywhere else. Wyra Notetaker joins a minute before the start.

AddressWho owns the meeting
Team addressOne address for your whole workspace. The meeting belongs to whoever in your team sent the invite. If someone outside your team sent it, the meeting arrives unassigned, and anyone can claim it.
Your personal addressMakes you the owner as soon as the invite arrives. Notes, tasks and the review come to you.

Use your personal address when a prospect sends you the invite. Forward it with your address added, and the meeting lands with you.

Choose Schedule on a link and paste the Zoom, Meet or Teams link, add a title, a start time at least 10 minutes away, a duration and a time zone. You can link an opportunity now or leave it unassigned. Wyra Notetaker doesn't join webinars.

Trusted senders and Accept to record

Invites from your colleagues and your AI SDRs are scheduled automatically. An invite from a new sender shows as Accept to record. Wyra records once the meeting's owner or an admin accepts it. Accepting teaches Wyra to trust that sender next time. You can also decline, and choose to always decline that sender.

The Meetings page

The header shows how many meetings need an opportunity linked and how many recorded hours you've used this month. Filter by owner or search by title.

TabWhat's in it
UpcomingScheduled meetings, invites waiting for you to accept, and calls Wyra is joining or in right now.
PastFinished meetings with their notes, and meetings that weren't recorded, with the reason.
Needs attentionMeetings that need a person. The CRM updates once you act.
UnassignedMeetings waiting for an owner. Claim one, link it to an opportunity, or leave it. Unassigned notes stay separate from the CRM and are kept for 30 days.

Fixing a meeting that needs attention

Each meeting shows the reason and the fixes that apply:

What happenedWhat you can do
Waiting roomAdmit Wyra Notetaker from the meeting. It waits up to 20 minutes (10 on Google Meet), then the meeting becomes Couldn't join.
Couldn't joinAsk the host to allow guests copies a short note for the host. Retry with a new link or Retry sends Wyra Notetaker again. If the meeting is over, Log the meeting manually adds an event on the opportunity with your own notes.
No meeting linkAdd the Zoom, Meet or Teams link.
Consent requiredAn admin accepts recording consent under Settings → Meetings.
Transcript or notes failedRetry transcript or Retry notes. The recording itself is untouched.
Needs an opportunityThe attendees match more than one opportunity. Pick the right one, or leave it unassigned.

Recorded hours

Each AI SDR adds 15 recorded hours a month to a pool your whole workspace shares. The pool resets on the 1st of each month. Org admins are told when 75% is used.

At the limit, Wyra stops joining. Later meetings show Not recorded · hours exhausted until the pool resets. To make hours go further, leave Record internal meetings off, so Wyra only joins calls with someone from outside your company.

Meetings in Chat

Ask Wyra to join a meeting from a link, list your meetings, or summarise one. To join, Wyra shows a card first and schedules it once you approve.

  • "Join this call at 3pm: [meeting link]."
  • "What meetings do I have this week?"
  • "Summarise yesterday's meeting with Acme and list the action items."
  • "What objections came up in my last three meetings?"
