Meeting settings, recording and consent

Settings → Meetings controls which meetings Wyra Notetaker joins, how it tells attendees they're being recorded, and where your meeting data is kept. Org Admins and members with the Settings Manager role can change it.

The first time someone opens Meetings, an admin is walked through a short setup: data region, recording consent, recording rules, then how to invite Wyra to a first meeting. Wyra Notetaker starts joining meetings once that's done. Everyone else sees that they're waiting for an admin.

After setup, every choice lives on the cards below. Click Save changes when you're done.

Recorded hours

Shows the hours used this month against your pool. Each AI SDR adds 15 hours a month, shared across the workspace, and the pool resets on the 1st. When it runs out, Wyra stops joining until the reset.

Invite addresses

Your team address and your personal address. Add either as an attendee on any Zoom, Google Meet or Teams invite. The personal address makes you the meeting's owner, so notes, tasks and the review come to you. See Meetings: inviting Wyra and scheduling links.

Trusted senders and Always declined

  • Invites are trusted from: invites from these senders are scheduled automatically. Anything else waits for someone to accept it. Wyra learns this list as you accept invites, and you can add an email address or a whole domain with Add a sender. View the list for the team address or for a member.
  • Always declined: Wyra declines invites from these senders.

Recording rules

Wyra Notetaker joins every meeting it's invited to that has someone from outside your company's domains. Meetings where everyone is from your company are skipped, unless you turn on Record internal meetings. That uses your recorded hours faster.

An admin accepts recording consent once, with Accept and enable recording. Wyra Notetaker joins meetings from then on. The card shows who accepted and when.

Your organisation is responsible for telling attendees they're being recorded. Wyra gives you the tools below. The legal duty to inform sits with the meeting host and their organisation.
SettingWhat it does
Announce the recordingWyra Notetaker posts a consent notice in the meeting chat and shows a "Recording notes for" your company image as its camera. If you turn this off, collecting consent is entirely up to you, and the change is written to the audit trail.
Ask before recordingRecommended. Applies when Wyra detects a state or country that requires everyone's consent. On Zoom, Wyra Notetaker joins without recording and the host gets Zoom's own recording prompt, with about a minute to accept. On Google Meet and Teams, it starts recording when admitted and posts "Type stop in this chat to stop and delete the recording."

Anyone can stop it. On Google Meet and Teams, anyone in the meeting can type stop in the chat. Wyra stops, deletes the recording, and keeps nothing from that meeting.

The invite address is also a notice in itself: attendees see Wyra on the invite before the call starts.

What attendees see

Wyra Notetaker joins as Wyra Notetaker. While recording, its camera shows "Recording notes for" your company. While it waits for the host, it shows "Not recording". The chat notice is pinned on Google Meet when the host's settings allow it, and posted once on Zoom and Teams. Teams workspaces that block bot chat see only the camera image.

Data region

Where Wyra Notetaker joins from, and where recordings, transcripts and notes are processed and stored:

  • United States: US West (Oregon)
  • European Union: EU (Frankfurt)
  • Asia Pacific: Tokyo. Recordings and notes stay in the region. Transcripts are processed in the United States.

There's one region per workspace, chosen during setup. A change applies to new meetings only. Meetings already recorded stay where they are.

Retention

Recordings are kept for 30 days, then the audio and video are deleted. Transcripts and notes stay with the opportunity.

Audit trail

Every change to these settings, including consent, recording rules, data region and trusted senders, is listed with who made it, when, and what it changed from and to. The audit trail is kept for the life of your workspace and can't be edited. Click Export CSV to download it.
