Tasks keep deals moving. Your pipeline stages can hand every deal a checklist automatically, you can add your own tasks to any opportunity, and everything assigned to you or your team lands in one queue under CRM → Tasks.
Where it lives
CRM → Tasks is your personal queue.
Open CRM → Tasks. CRM is in beta and carries a Beta badge in the sidebar. The page is headed My tasks and lists every opportunity task assigned to you directly or to a CRM team you're on, across all of your organization's deals. The line under the heading counts what's open and what's overdue.
When nothing is assigned to you yet, the page shows Waiting on tasks. Tasks start arriving as deals move through stages that have tasks for you or your team.
Board view
One column per due date, soonest first. Drag a card between columns to reschedule it or drop it in Done to complete it.
List view
The same tasks in a flat table you can sort by any column. Wyra remembers which view you picked last.
The board
Five columns, sorted by when work is due.
Each card shows the task, its opportunity and company, the stage, a due-date chip, and a team chip when the task reached you through a team. Dragging a card changes its due date, so the board is also the fastest way to reschedule.
Due dates read as Today, Tomorrow, a date, or how many days late the task is. Overdue chips are red and today's are amber. A task with no date shows Set due date. Long columns show 50 cards at a time with a Show more button underneath.
The list view has five columns: Task, Opportunity, Stage, Due date, and Assigned via. Click a header to sort ascending, click again to reverse, and click a third time to clear. Shift-click a second header to sort within the first. Stages sort in pipeline order, and undated tasks always sit at the bottom.
Search and filters
Narrow the queue to what matters now.
The bar at the top holds Search tasks…, which matches the task name, the opportunity, or the company, plus a filter button, a sort button, and the board/list toggle. Filters apply to both views.
Due date
Pick one or more of Overdue, Today, This week, Later & undated, and Done. Or set a date range instead. Tasks with no due date never match a range.
Stage
Show only tasks that belong to the stages you pick.
Status
Open, Done, or both. With neither picked, you see both.
Sort
Sort by Task, Opportunity, Stage, Due date, or Assigned via. With no sort, tasks run overdue first, then soonest due.
Each option shows how many of your tasks it holds. Active filters appear as chips under the bar. Remove one with its ×, or click Clear all.
Completing a task
Tick it off, or open it to reschedule.
Click the circle on any card or row to mark the task done. Click it again to reopen it. Click the task itself to open its detail panel.
Description
The task's instructions, when it has any.
Opportunity, Company, Stage
The deal the task belongs to. Click the opportunity name to open it.
Assigned via
The team that routed it to you, or Assigned to you directly.
Due date
Pick a date, or use the Today, Tomorrow, Next Monday, and Clear shortcuts.
Mark done / Reopen task
Completes the task, or reopens a finished one.
Open opportunity
Goes to the deal, where you can comment, reassign, or edit the task.
Due date and completion belong to this deal alone
Changing a task's date or ticking it off here only touches this one deal's copy of the task. Other deals with the same stage task keep their own dates and status. Tasks marked Not required on a deal don't appear in My tasks.
Tasks on an opportunity
Every task a deal owes, stage by stage.
Open an opportunity and go to Activity → Tasks. A badge on the Tasks tab counts what's still open. The tab lays the deal's tasks out as a timeline:
Tasks you added without a stage come first, as a plain list.
Then one node per stage the deal has reached, in pipeline order, with X of Y done beside it and that stage's tasks hanging off it. Open tasks from earlier stages stay listed until someone finishes them.
Stages the deal hasn't reached yet follow, dimmed, as a preview of the tasks it will pick up there. You can't tick those off yet.
Each task row shows its name, a High priority flag if it has one, its due date (red once overdue), and Waiting on another task when it depends on one. The actions sit right on the row:
Circle
Mark the task done, or not done.
Task name
Opens the task with its description, owner, and comment thread.
Owner
The avatar or team chip. Click it to reassign.
Comments
Opens the task's thread. A green count shows how many comments it has.
Edit
Opens Update task with every field of the task.
Not required / Delete
Stage tasks can be marked Not required. Tasks you added yourself can be deleted.
Task changes also show up on the deal's Timeline, with lines like “Completed the task…”, “Reassigned the task…”, and “Marked the task… as not required”.
Adding a task
Add a one-off task to a deal.
On the opportunity's Activity tab, click + Task. The task you add belongs to this deal only. To give every deal in a stage the same task, add it to the stage in settings instead (see tasks from your stages).
Name and describe it
Enter the Task name and a description. The description is required, and you can format it with bold, italic, underline, lists, and links.
Pick an owner
Switch between Team and Member, then pick one. If the team you need doesn't exist yet, choose + New team to create it without losing your draft.
Set the details (all optional)
Add a Due date, tick Mark as high priority, file it under a Stage (the deal's current stage is marked current, or leave it Unassigned), and choose a task in that stage it Depends on.
Add task
The button stays disabled until the task has a name, a description, and an owner.
To change a task later, click its pencil icon. The Update taskdialog opens with every field filled in, and your changes apply to this task only. The one thing you can't change is the stage. To file a task under a different stage, delete it and add it again there.
Owners
Assign a task to a person or a whole team.
Click a task's owner to reassign it. The picker lists your Teams first, then People, then two extra choices:
Nobody leaves the task unassigned. It stays on the deal but doesn't appear in anyone's My tasks.
Use the stage default (stage tasks only) puts back the owner the stage currently assigns to that task.
A task assigned to a team appears in the My tasks queue of everyone on that team, with the team's name on the card. CRM teams are separate from your organization's members list. Manage them under Settings → CRM Settings → Team.
Comments
Discuss a task where the work happens.
Click the speech-bubble icon on a task row, or open the task, to see its thread. Comments on a task stay with that task on that opportunity, oldest first. They don't mix into the deal's Notes tab.
Type in Add a comment… and click Comment, or press ⌘↵ (Ctrl+Enter on Windows).
Attach files with the paperclip. Each file can be up to 10 MB, and files show under the comment they came with.
Not required and dependencies
Skip what a deal doesn't need, and keep the order of work.
Stage tasks can't be deleted from a deal, because every deal in the stage shares the same checklist. If one doesn't apply to this deal, click Not required on its row. The task dims, gets a Not required pill, and drops out of My tasks. Click Mark requiredto bring it back. Tasks you added yourself don't have this option. Delete them instead.
A task that depends on another sits beneath it in the timeline and reads Waiting onfollowed by that task's name. Its circle is greyed while the earlier task is open, but you can still tick it off. The dependency shows the intended order; it doesn't block you.
When you skip a task other tasks wait on
Wyra asks before touching the rest of the branch. The dialog names the tasks that wait on the one you're skipping and asks Are they still required?
Required skips only the task you clicked. Everything waiting on it stays open.
Not required skips the task and every task waiting on it.
Closing the dialog changes nothing. The task you clicked stays required too.
Marking a task required again never changes the tasks below it.
Tasks from your stages
Deals pick up their stage checklist automatically.
Each stage in a pipeline can carry a list of tasks, each with a default owner and, optionally, a task it depends on. You don't add these to deals by hand. Here's what happens on its own:
A deal enters a stage
It gets the tasks for that stage and for every earlier stage it doesn't already have, including stages it skipped. The Timeline notes it, for example “Added 3 tasks for the Qualified stage”.
Owners come from the stage
Each task starts with the stage's default owner, so it lands straight in that person's or team's My tasks. Stage tasks arrive with no due date.
A task is added to a stage
Deals already in that stage or later get it right away. Deals in a won or lost stage don't. Deals further back get it when they arrive.
A stage task is edited or removed
Deals that already have the task keep it exactly as it was. Nothing disappears from a deal because settings changed.
A stage is deleted
Open tasks that came from it are marked Not required. Finished ones stay done.
On the board
Opportunity cards show a ring such as 2/5 tasks: how many of the deal's tasks are done. Click it to see, tick off, and reassign the tasks in the deal's current stage without opening the deal.
Moving a deal with open tasks
If you drag a card on the board to another stage while tasks in the stage it's leaving are still open, Wyra shows Tasks incomplete in that stage and lists them with their owners. Click Move anyway to go ahead. The open tasks come with the deal and stay on its Tasks tab.
Stage tasks are set up under Settings → CRM Settings → Pipelines. See Opportunities and pipelines for how to add them.
Events and calls
Record meetings and calls on the deal.
Beside + Taskon an opportunity's Activity tab are + Event and + Call. What you save appears under Activity → Events and Activity → Calls, and on the deal's Timeline.
Add event
A Title, From and To times (required), plus a Host, Location, Meeting link, Participants from your workspace, and a Description. Click an event in the Events list to see its details.
Log call
Who it was To / From, the Owner (you by default), Call type (Inbound or Outbound), Status, Call start time, Call purpose, Call agenda, and a Description. Completed and missed calls also take a Duration and a Call result.
Set a call's status to Scheduled and the dialog becomes Schedule call for a call that hasn't happened yet. Choose Completed or Missed to log one that has.
Who can change an event
The person who created an event, or its host, can Edit it. They and any participant can Delete it, after confirming Delete this event for everyone? Everyone else sees the details without those buttons.
Who can do what
Tasks follow your CRM role.
Org Admin, CRM Manager
Everything: add, work, and delete tasks, add events and calls, and edit stage tasks in CRM settings.
AI SDR, Campaign Manager
Add and work tasks, events, and calls. They can't delete tasks.
CRM Member
Works the tasks that exist: complete, reschedule, reassign, edit, comment, and mark Not required. No + Task, + Event, or + Call buttons, and no deleting.
Stage tasks in settings
Org Admins, CRM Managers, and the Settings role can change them. CRM Members can view them but not edit.
